Events Coordinator Location : New York, NY Department : Rentals Type : Full Time Min. Experience : Entry Level Built by philanthropist John D. Rockefeller, The Riverside Church opened its doors in 1930. It boasts over 300,000 square feet of event space and is famous for its large size and elaborate Neo-Gothic architecture as well as its history of social justice. TRC has been influential on the nation's religious and political landscapes over its almost 90 year history. TRC is seeking an Events Coordinator who will be responsible for client events as well as programming related to internal events. The Rentals team manages a vast array of performances, film and television shoots, galas, graduations, conferences, concerts and social events. Our dedicated team is committed to professionally representing TRC as a premiere events destination. Responsibilities Respond professionally to inquiries, communicate information regarding spaces, technical capabilities, catering, lighting design, room layouts etc. Conduct site visits, provide cost estimates, negotiate and prepare venue contracts Serve as liaison with vendors on elements related to events Serve as on-site day of coordinator for events and respond to any challenges that may arise Recommend plan of operation and logistics and ensure external clients always receive exceptional customer service and support for their events Master and utilize the events management database and ensure integrity and accuracy of the information Support internal clients booking space and coordination Prepare for and contribute to weekly production meetings Manage and track contract execution and deliverables such as insurance and payments are received and processed according to department guidelines. Coordinate with all departments (Security, Buildings and Grounds, Tech Team) to ensure a flawless event Provide support to the Events Manager Perform administrative duties related to the smooth running of the department Special projects as assigned. Qualifications 1-2 years events, meeting planning, venue management, or hotel sales preferred. Entry-level candidates with demonstrated interest in event planning will be considered. Strong project management skills; must be able to manage multiple projects with frequent and specific deadlines and consistently follow up to ensure tasks are completed. Ability to rigorously manage a heavy volume of emails and phone calls. Must be willing to work outside standard business hours - evenings and weekends as necessary. Must be extremely organized, have extraordinary attention to detail, and demonstrate critical-thinking. Professional demeanor and fantastic customer service a must, as the coordinator will be client facing. Strong relationship building instincts, able to address issues with diplomacy. Excellent interpersonal skills with high professionalism. Problem-solving skills, sound judgment, and an ability to negotiate effectively. Proficiency with Microsoft Office suite, Excel, and willingness to master computer related systems for inventory management. Demonstrated track record of high ethical character.
