FACILITY EVENTS COORDINATOR Reporting to the Facility Operations Supervisor, this role is primarily responsible for supporting the City of Brampton’s Facility Events Strategy, increasing exposure and coordinating logistics for events within Brampton’s downtown facilities (indoor and outdoor), areas of assembly and meeting spaces. KEY RESPONSIBILITIES: OPERATION SUPPORT Provide day-to-day coordination, guidance and support for defined programs, processes, policies, practices and project initiatives to meet operational needs and corporate service standards. Develop and seek approval of marketing strategies, events operations, resourcing and budget details. Confirm on-site event staffing requirements; coordinate and finalize on-site requirements with the Facilities Services Office. CUSTOMER SERVICE Work in collaboration with stakeholders and clients to meet the needs for their programming and the City of Brampton’s standards. Initiate meetings with stakeholders and caterers to plan scope and format of events, and/or review administrative procedures and event progress Create and maintain a positive atmosphere and build positive relationships to enhance brand recognition. Gather relevant feedback from meeting and event attendees to ensure intended outcomes are being achieved. COMMUNICATION AND REPORTING Prepare reports, presentations and general ad hoc information as required accurately by established timelines. Maintain an inventory of materials and supplies appropriate for planned activities. Maintain and update records concerning all aspects of business operations. Gather and distribute information to relevant stakeholders i.e. contact reports, timelines, commitments, contracts, etc. CORPORATE CONTRIBUTION Conduct research using internal and external resources to gain insight of market trends, current programs, processes and practices to support management and recommend ways to improve business processes, service solutions and best practices. Maintain knowledge of, review and assist in the development City policies and practices, legislation, regulations and Standard Operating Procedures (SOPs). BUDGET SUPPORT Monitor budgets by tracking and reconciling expenses. TEAMWORK AND COOPERATION Participate in project coordination and team meetings as required to meet operational needs. Work well within diverse groups in support of operational goals and objectives. Work in conjunction with the Facilities Services Office to prevent or troubleshoot areas of challenge during events. Demonstrate corporate values at all times. Participate as a member of cross-functional teams (as required). SELECTION CRITERIA: Post-secondary degree or diploma in public relations, marketing, business, recreation and leisure or related field 3-5 years experience in a related field, such as specialized events planning, etc. Solid, demonstrated communication skills (verbal and written) with the proven ability to effectively coordinate in a fast paced environment. Exhibits high level of maturity and aptitude for working in a fast paced environment and to provide creative solutions to complicated problems in a timely manner to meet deadlines. Must be able to organize and prioritize work and handle multiple tasks simultaneously. Proven ability to work independently as well as to perform effectively in a team oriented environment. Proficiency in MS Office applications (Word, Excel, PowerPoint, Access, Outlook). Ability to work with private and confidential material. Thorough Knowledge of Municipal, Regional, Provincial and Federal Governments and applicable Legislations is an asset. Ability to work variable hours on a regular basis.
