Term: 1 year (June 2017 - June 2018) Salary Range: $45,000-50,000 The Ontario Association of Veterinary Technicians (OAVT), located in Guelph, is a not-for-profit professional association of 3000 Registered Veterinary Technicians (RVTs) which is also responsible for the regulation of the profession in the province. The OAVT is seeking an individual to temporary one-year contract and manage all details of the annual OAVT Conference and any additional OAVT events. This individual will report to the Events & Sponsorship Manager and the Executive Director. We are seeking a candidate who will be able to enhance the overall events program of the OAVT. This would include: Create, manage and adhere to the conference budget. Enhance current sponsor relationships and develop new sponsor relationships by contacting potential companies to discuss OAVT offerings. Develop and distribute marketing materials to potential speakers, sponsors and attendees within North America. Create marketing email content and coordinate email deployment with the OAVT Communications Manager. Create, implement and manage the registration of all event attendees (such as delegates, sponsors, speakers and complimentary attendees). Coordinate and work with event volunteers including the Speaker Planning Committee, Lead Moderator and Booth Lead. Ensure clear communication and information sharing between yourself, OAVT staff, vendors, sponsors, speakers and volunteers. Prepare and lead an on-site team and coordinate all suppliers and vendors. This includes troubleshooting any unplanned developments during the event. Organize and lead the planning of ancillary events (Examples: Conference Kick-off, Awards Dinner and Annual General Meeting). Provide weekly updates to OAVT staff to communicate milestones, registration numbers and sponsor statistics and any additional details/updates pertinent at that time. Compile detailed post-event executive summary and individual logistics oriented reports including staff feedback and recommended changes for the following event. Each year the OAVT organizes a two day animal health science conference, trade show, awards banquet and annual general meeting, attended by approximately 1300 delegates. Our conference is a significant continuing education event for RVTs to enhance their knowledge and skills. The 2018 conference will be held at the Scotiabank Convention Centre in Niagara Falls, ON from March 1-3, 2018. In addition to hosting 1300 delegates, the conference is comprised of: Typically 30 to 40 speakers present a wide variety of topics. These seminars and workshops qualify for credits which apply towards the requirement for RVTs to participate in continuing education to maintain their professional credentials. Major industry partners offer sponsorship which helps to make this annual event a success. Over 70 exhibitors showcase their products and services in a lively and well attended trade fair. The OAVT Conference requires the incumbent to manage all conference details, including (but not limited to): Bookkeeping, invoicing, contracting, and financial transactions of the conference Venue logistics and A/V requirements Vendor selection Registration (online and on-site) for all attendees On-site materials such as giveaways, the printed conference guide and the ABC Guide Conference mobile app Conference marketing and website Sponsorship program Speaker program Volunteer Program Candidate Requirements: Post-secondary education in the event management field or equivalent experience Works well under pressure and effective at multi-tasking Excellent written and oral communication skills Adaptable team player with a strategic, forward-thinking mindset Deadline oriented with strong attention to detail Proficient in Microsoft Office – Word, Excel, PowerPoint, Outlook Basic knowledge of HTML Additional Assets: Previous experience with associations or not-for-profit organizations Familiarity with QuickBooks accounting program This full-time, contract position is expected to commence June 12, 2017.
