Job Summary : Galveston Island Event Professional Destination Services drives value with innovative offerings and unique deliverables through cultivated local services and established partner relationships. Event professionals and attendees become temporary locals with shareable moments and lasting impressions from carefully curated and turn-key authentic island experiences. Responsible for organizing, coordination and implementation of services for meetings, conventions and events. Works with meeting planners to determine servicing requirements and other support needed by the organization and attendees. Minimal Qualifications: Bachelor's degree in related field, or the equivalent of five years of relevant experience in the hospitality and/or customer service industries Highly proficient in the use of Microsoft Word, Excel, and PowerPoint and the ability to quickly learn industry specific software Strong written and verbal communication skills Good interpersonal and problem-solving skills Ability to manage multiple projects and independently prioritize tasks Ability to plan and work independently and in coordination with internal and external resources A professional commitment to excellence, professionalism and creativity Focus on success through teamwork and collaboration Accomplished strategic thinker who brings ideas and solutions Required current certifications, licenses and trainings : Must hold a current and valid Class C Driver's License Certified Tourism Ambassador (CTA) certification or ability to become certified CTA training provided by the Galveston Island Park Board of Trustees upon hire Work Schedule: General office hours are Monday through Friday from 8:30 AM to 5:00 PM The ability to work outside of normal business hours to include evenings, weekends and holidays may be required based upon client needs and office demands Routine, in-person attendance is required for this role Essential Job Tasks Establishes contact with convention and meeting planners who are scheduled to bring groups into the area; maintains routine written, telephone and personal contact with the clients Produces data for the Destination Services end of the month report Supports the efforts of the sales team by identifying and exceeding the needs of the clients for additional meeting opportunities Create internal and external presentations Assist meeting, convention and event groups to promote their meetings by providing marketing materials, attendance building efforts, work with public relations department for dissemination of press releases received from planners and social media promotion Coordinate with the Creative Services Manger on videos or photographs of group testimonials, offsite venues and welcome videos, as well as other creative content as needed or directed Acts as liaison between meeting planner and sales staff; offers suggestions and assistance planning, entertainment, tours, shopping, spouse programs and other requests Coordinates the scheduling, delivery and dispersion of services for all events Maintains information and contacts for transportation, local attractions, tours, outdoor activities, lodging facilities, entertainment, speakers, CSR opportunities, team building options, off-site venues, caterers, etc. Educate groups on the benefit of using social media as an attendance building tool. Use social media channels to engage and promote to groups. Collaborates with Galveston.com to keep the information on the destination services website current Create welcome videos for the pre-promotion of future year's events. Pre-promotional trips for qualified client events one year prior to meeting in Galveston Assist sales managers with creative for site tours, FAMs and pre-convention meetings. Work with Creative Services Coordinator to produce and maintain database of videos: venues, teambuilding, CSR etc. Develop and facilitate arrangements and coordination of site/FAM itineraries for sales. Assists with departmental projects May be responsible for other job duties as assigned by the Director of Destination Services/Visitor Center Customized documents that are effectively organized and brilliantly showcase Galveston's premier amenities. Photos, videos, floor plans, capacity charts, PDFs, documents and more instantly summoned with the tap of a finger to be delivered multiple ways Provide the Event Impact Calculator measures to the meeting planner Curate hospitality elements throughout the city and the meeting planners entire experience to make a lasting impact Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
