Executive Events Associate Date: Sep 19, 2017 Location: Philadelphia, PA, US, 19107 Job Description Req ID : 13944 Shift : Days Employment Status : AF - Active - Regular - Full Time Job Summary The Executive Events Associate will serve as point person for, support, and coordinate all meetings for Development boards, including Committees of the Foundation Board of Overseers (FBO), Boards of Visitors (BOVs), and Corporate Council (approximately 35 meetings per year), and philanthropy training workshops. He/she will oversee all logistics, including invitations, attendance, materials, and minutes, and will work closely with Development Operations, Major Gifts, and Corporate and Foundation Relations teams to ensure event success. Job Responsibilities Manage logistics for volunteer meetings, including scheduling venues, distributing meeting agendas and materials, ordering food and beverages, other hospitality and AV for Development volunteer committees: FBO Committees; Boards of Visitors (BOVs); Corporate Council; Fundraising events committees; Campaign /Employee Campaign Cabinets and Philanthropy training workshops Serve as the primary manager at volunteer meetings; attend meetings; take detailed minutes; manage all correspondence including meeting confirmations, thank you letters, and other information requested by Development staff and/or volunteers; manage follow-up tasks as appropriate Support and coordinate BOV meetings as directed by Major Gift Staff. -Assign “staffing” to CEO and CDO for events -Communicate with committee members - Create and distribute event packets for volunteers and executives 4.Develop briefing materials for hospital administration, volunteer leadership, and Development staff 5.Coordinate calendars to ensure meetings are scheduled in a timely fashion, well in advance, and with proper notice to all volunteer and administrative leadership Required Licenses, Certifications, Registrations Required Education and Experience Education : High school diploma / GED required; Experience : At least three (3) years of experience Business writing experience required, including minutes, agendas, planning documents, welcome letters, and board correspondence Preferred Education, Experience & Cert/Lic Preferred Education: Bachelors degree Preferred Experience : Non-profit or corporate setting with boards and/or meeting responsibilities Additional Technical Requirements Fast-paced and results oriented with the ability to work in a timely manner with multiple deadlines and competing requirements. Strong organizational and logistical skills Ability to handle multiple, competing priorities Flexible schedule required to attend meetings, including evenings and some early mornings.
