About the Department of Conference & Event Services Conference and Event Services supports the University’s objectives by operating the Mount Royal University theatre and event spaces including the Bella Concert Hall, the Leacock Theatre and the Wright Theatre at the Mount Royal University. The theatres are operated as a revenue-generating community resource and are a strategic asset to the University. About the Role Are you an aspiring Event Planner? Do you enjoy creating exceptional experiences for clients and guests? Mount Royal University has an exciting opportunity for an Events Associate in our Event and Theatre Services department. The Events Associate is an energized, service oriented, creative individual who is engaged in every detail of the client experience. You will be responsible for assisting with event development and execution in the Mount Royal Conference and Event Centre, the administration of space bookings & supporting services and providing administrative support to the Event and Theatre Services (ETS) department. Responsibilities: Provides a front-line service presence to all Mount Royal ETS clients, students, faculty, staff and the general public. Promotes the use of Mount Royal venues and services offered by ETS. Troubleshoots facility, equipment and service issues when required. Responds to leads within scope of portfolio for clients ranging from basic room bookings up to 100 guests to smaller event bookings with additional services for up to 50 guests. Preparing quotes, contracts, room layout diagrams, food and beverage orders and invoices with excellent attention to detail and accuracy. Liaises with internal departments and other suppliers to facilitate client booking requirements for event logistics including room set-ups, catering and audio/visual services. Provides on-site support to ensure services are precise and as requested as part of event-day responsibilities. Works flexible hours as needed to support ETS event activity including some evenings, early mornings and weekends. Reports equipment, conference facility and support service issues with appropriate departments when required. Assists in administrative tasks for department including but not limited to: answers telephones, responding to email, updates to lobby and external building signage, processes and distributes documents, meeting minutes, maintains supply inventories, process expense reports, assists with scheduling casual staff, special projects, etc. Works effectively independently and as part of a team environment.
