CATHOLIC CHARITIES USA POSITION DESCRIPTION POSITION : Director, Events and Convening REPORTS TO : EVP, Chief Operating Officer & General Counsel DEPARTMENT : Administration/Operations STATUS : Exempt Summary Description : The Director, Events and Convening is responsible for providing expertise and direction in the development of convenings, events, activities and services to support strategies to retain and attract new members. Leadership Exercised : This individual has the Senior Manager, Conference Planning as a direct report Motivates and communicates effectively with staff Works directly with third party vendors Primary Responsibilities : Provide leadership and project management in the planning and execution of high quality events and functions of CCUSA including the Annual Gathering, Leadership Institute, Diocesan Directors meetings, Strategic Priorities meetings, retreats and other events Set annual budget goals and facilitate annual planning process Create proposals soliciting locations for future events and convening, negotiate contracts in compliance with CCUSA contracting rules and works with General Counsel on contract issues Conduct site visits and planning visits as needed to select vendors and produce events in compliance with CCUSA value and quality standards Monitor fiduciary obligations and contract terms in conjunction with Sr. Manager, Conference Planning Identify and facilitate discussion and decisions about issues affecting events, and ensure that CCUSA’s mission and organizational priorities are reflected in the planning and presentation of events Create website and materials for submission of workshop proposals for Annual Gathering and other conferences as needed Coordinate the selection process of workshop proposals to provide members with opportunities for professional development and education on best practices C Collaborate with colleagues in order to maximize potential and meet event goals and objectives Lead meetings of the Annual Gathering Workgroup Maintain working relationships with and an up-to-date database of national hospitality industry representatives to enable CCUSA to take advantage of current trends and site opportunities Prepare draft marketing communications, materials and scripts to facilitate the execution and production of events in collaboration with colleagues Develop and/or maintain highly professional standards and procedures for production of events in keeping with the image and reputation of CCUSA Coordinate with colleagues to ensure compliance of Continuing Education policies and procedures under Association of Social Work Boards (ASWB/ACE) and National Board of Certified Counselors (NBCC) standards Maintain working relationships with and an up-to-date database of national hospitality industry representatives to enable CCUSA to take advantage of current trends and site opportunities Collaborate with Sr. Creative Director and audio visual team to present and produce high quality plenary sessions Convene leadership team in discussion and decision-making about strategies, opportunities, potential conflicts, and other issues related to the successful production of events Schedule and organize meetings and organize other CCUSA activities including preparing and coordinating location, timelines, checklist, documents, briefing materials, meeting notifications, equipment support and all other meeting requirements prior to scheduled meeting Establish and maintain file systems that are readily retrievable Work independently and within teams on special, nonrecurring and/or ongoing projects that are frequently complex in nature and time-sensitive Respond in a timely manner to management requests for information.
