Coordinator, EA Vancouver Events & Internal Communications Report to : Manager, Events and Internal Communications, Canada Job Description Support Manager, Events & Employee Communications (Canada) on various items including delegated tasks and projects Represent EA Vancouver as the main on site contact for Events and Communications at EA Vancouver. Assist Workplace & Employee Services team with projects, including researching and reviewing studio queries including but not limited to administrative duties & time off coverage Varying hours including evening & weekend work Own Workplace & Employee Services Corporate Events Card Responsibilities Meeting & Events at EA Vancouver Assist with research, organization, coordination and execution of all EA Vancouver onsite meetings & events, approximately 50+/year, varying in size from 20-2000, including but not limited to Summer Party, Staff Party, Family Movie Nights, and miscellaneous events Own onsite events, meetings, conferences, workshops at EAV to provide efficient processes and production of successful meetings/events Serve as main point of contact for planning as well as day of coordination and support Work with internal and visiting EA employees & external partners to understand meeting/event requirements, provide the proper assistance to ensure mandates are met Participate in weekly planning meetings, assist with needs as requested/required including but not limited to sourcing/ordering additional furniture needs, supplies & swag Creating and distributing detailed event plans and coordinating with all contracted facilities departments to ensure understanding and feasibility as well as oversee the plan through to completion. event/meeting signage as requested Manage and oversee all EA Experience events including Game Launches and Fairs. This includes all activities, facilities coordination, communications and day of set up. Document and distribute post-event summaries, surveys, post mortems including the collection and analysis of data and feedback Administrative support including but not limited to updating budgets, vendor management, PO/Invoice tracking & payment processing Conduct Tours of EA Vancouver as required. ILEA/MPI Vancouver Meeting & Events Industry Member Complete quarterly audits & approval matrix review on Alcohol orders EA Vancouver Communications Manage internal communications for day to day mass-broadcast, including but not limited to accuracy and relevance of information on the EA Vancouver portal, podiums, email blasts, digital displays, Scala Systems. Provide support & direction to EA Experience for all marketing & communications Provide training & support to other local site coordinators with Scala and EA World local sites Manage monthly Facilities calendar including content and accuracy Design and create eye catching digital signage for events, workshops, website, digital displays, scala systems as required.
