Introduction: University of the Sciences (USciences) has an immediate need for a qualified candidate for the position of Assistant Director, University Events. The Assistant Director, University Events reports to the Director of University Events and collaboratively manages and supports the logistics of high quality events and functions. The Assistant Director will have direct oversight of a substantial number of events each year and must be able to anticipate project needs, discern work priorities and meet deadlines. The individual should provide outstanding customer service, maintain the highest level of professionalism and build relationships with internal and external constituents. The Assistant Director will interact with, and events will serve, diverse and distinguished guests, including faculty, staff, students, parents, trustees, donors, visiting dignitaries, community members, etc. The Assistant Director will work independently and also as a member of the Institutional Advancement team, and coordinate his/her activities with those of other units in Institutional Advancement and other units at the University. Primary Responsibilities: Responsible for the strategic and tactical promotion of USciences and its ability to serve as meeting space for programs, conferences and other events. Secures appropriate documentation and approvals for use of university space for University Sponsored and Co-Sponsored events. Supervision of Meeting and Event Coordinator Collaborates with campus constituents, such as Facilities and Public Safety, to ensure efficient use of campus facilities for University Sponsored and Co-Sponsored events. Oversight of and Primary Contact for community and outside organizations that request usage of our facilities. Negotiates rental contracts for campus event space, secures appropriate documentation and approvals for use of university space by external groups Coordinates site visits for external groups Reserves appropriate space on campus via the Room Reservation System Communicates with internal partners (AV, IT, Public Safety, Facilities, etc.) about external group needs In partnership with key staff, develop and/or ensure utilization of standardized systems and technology to automate elements of events planning, tracking and production whenever possible. Assist in the administration of annual Events operational budgets and ensure they are prudently managed. Update and maintain accurate events lists for department and division Performs other duties as assigned or requested. Knowledge, Skills, and Abilities Required: Minimum of associate's degree required (bachelor's degree preferred; significant work experience can substitute for bachelor's degree). Minimum of three (3) years of job-related experience. Progressively responsible experience in, and knowledge of, planning, production and management of events. CMP Preferred. Demonstrated project management, time management, and organizational skills, with the ability to manage details of multiple and complex projects with firm schedules. Excellent communication skills, both orally and in writing. Computer skills with ability to use word processing and spreadsheet software, and knowledge of desktop production and database systems. Excellent customer service skills. Evening and weekend hours are required. The finalist will be required to successfully complete a background check.
