EVENTS COORDINATOR Office of Strategic Operations (Signal Hill Campus) and Conference Services (1 year Contractual Position) The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval The Events Coordinator, Signal Hill Campus, manages the execution of University and client events, conferences, learning sessions, and private client events. Based out the Strategic Operations (Signal Hill Campus) and Conference Services office, the position will support both the Emera Innovation Exchange conference centre, the Johnson GEO Centre venues as well as select event spaces on St. John’s Campus. The successful applicant will oversee and organize events that result in high client satisfaction and the successful enjoyment of event attendees. Budget preparation, negotiation, and adherence is a critical element to this function. DUTIES Reporting to the Director, Strategic Operations (Signal Hill Campus) and Conference Services, the successful candidate will be responsible for supporting clients in the planning and execution of their events. Additionally, this position may be required to plan and execute events from start to finish according to requirements, target audiences, and event objectives. Duties include supporting venue clients to enhance their vision of the event in keeping with event objectives and the mandate of the venue; planning and executing events, on behalf of clients, from start to finish according to client requirements, target audience and objectives; providing expert advice in enhancing events’ success; preparing and adhering to budgets and estimates; negotiating contracts with clients; sourcing and negotiating with vendors and suppliers in accordance with the public tender act; managing part-time staff recruitment and day-to-day supervision and scheduling; coordinating operations related to events in the venues; partnering with communications staff on promotional activities; overseeing and approving, on behalf of the venue or client, all aspects of the event prior to the event; ensuring smooth execution and resolving issues as they arise; contributing to the invoicing processes; analyzing and reporting on events for the client and for internal continuous improvement; and performing other related duties as required. Flexibility with regard to work hours, including evenings and weekend work, is required. QUALIFICATIONS Experience (3-5 years) in managing special events; undergraduate degree in marketing, public relations or event management; or any equivalent combination of experience and training. Exceptional leadership, project management, organizational, negotiation, problem solving and supervisory skills, proven event management abilities, strong interpersonal skills, customer service orientation and excellent verbal and written communication skills are required. Knowledge of personal computers and software including Word, Excel and PowerPoint is essential. Proficiency in CRM and venue/event management software is preferred. Knowledge of the mission and mandate of Memorial University and the mandate of the various venues as well as knowledge of KPI’s and marketing techniques for event management are assets. Must possess a valid driver’s license.
