Because we believe connections unite us, possibilities fuels us, and moments define us.   NATURE & SCOPE Jays Care Foundation knows that, when used intentionally, baseball has the power to create lasting social change for children and youth. That's why we help kids get involved in the game, build safe spaces in which they can play and design and deliver baseball for development programs that help kids develop the life skills they need to succeed. Jays Care Foundation is looking for an energetic, passionate and motivated individual to assist in providing excellent and dependable administrative and programmatic support to the Jays Care team, as well as working on various in stadium and Toronto based special projects. The Jays Care Foundation Administrative Coordinator will also help to manage the Jays Care Foundation Ticketing Program.   RESPONSIBILITIES: Jays Care Ticketing program and the Jays Care Community Clubhouse (50%) Receiving and evaluating applications for the Jays Care Community Clubhouse. Managing the Community Clubhouse volunteers including training, scheduling and answering questions. Managing the Clubhouse Schedule including group and ticket allocation, communicating with a variety of nonprofit organizations about logistics for their visit to the Rogers Centre Maintenance of the Jays Care Community Clubhouse space including stocking the book and hat supply, liaising with building maintenance and security staff to report any problems and monitoring feedback or growth opportunities for the suite. Helping to manage Jays Care’s relationship with Kids Up Front to identify tickets which can be used by our programs team, and to encourage full redemption of tickets given by Jays Care. Assist in maintaining an active waitlist for the Clubhouse and recommending appropriate groups who may receive donated suites from donors throughout the year.   Office and administrative support (20%) Answering the Jays Care phone line and email inbox, providing exceptional customer service in interacting with donors and any other callers, handling inquiries with professionalism. Managing Project Giveback inquiries and any incoming donation-in-kind requests. Managing office administration tasks including shipping/receiving, inventory organization and tracking, office supply maintenance and database entry where necessary. Supporting Jays Care staff administratively. Management of room and car booking and scheduling. Team meeting organization and logistics including booking rooms, arranging catering and distribution of meeting materials. Organization of Board Meeting documents and meeting logistics, preparation or follow up items. Administering the Unstoppable Kids reward and incentive program in partnership with Program specialists to identify kids deserving of the rewards outlined. Includes coordination of their reward fulfillment, from allocation to follow up.   Onboarding/Staff management (10%) Assisting in developing, executing and maintaining the Jays Care Onboarding initiative for all new Jays Care staff members. This includes creating and updating the resources required for the program and working with the Executive Assistant to identify areas of development to create a well-rounded and robust program. Assisting other Jays Care team members to problem solve enquiries, ensuring that office resources are created and maintained to create a happy and healthy work environment. Staying current on Rogers and Blue Jays policies and other resources available to Jays Care staff and communicating those where necessary. Building a working relationship with the Blue Jays HR team to effectively keep Jays Care informed with policies and resources which may affect them.   Evaluation, planning and development (5%) Helping to create surveys, collecting feedback from volunteers and stakeholders to formulate strategic planning recommendations for Foundation growth. Developing new project proposals and helping to make them a reality. Research of other non-profit best practices and new systems or procedures, which could benefit the Jays Care team. Making budget and program development recommendations to contribute to the strategic direction of Jays Care. Providing hands on support to the Jays Care team for all other programming and fundraising events as required.   JCF project management (15%) Providing support on game days and other in stadium activations including Day of the Girl, The Snowball, Winterfest, Winter Tour and other activations as they arise. Assisting in facilitating Batting Practice, First Pitch, Newcomer Canadian and other game experiences as required – in season only, Providing hands on support to the Jays Care team for all other programming and fundraising events as required.   EXPERIENCE Required (must have): Professional experience in an office environment, in the public and/or not-for profit sector. Excellent communication abilities. Strong writing skills, excellent command of the English language. Highly organized with the ability to multi-task, a strong attention to detail and problem-solving skills. Team Player. Ability to see the big picture goals of the organization and contribute on day-to-day tasks, willing to go above and beyond. Willingness to work hours outside of a regular 9-5 schedule, including some evenings and weekends.   Desired (asset): Experience working with children living at or below the poverty line Passion for sport/baseball and basic understanding of promoting life skills through sport   IT KNOWLEDGE/SKILLS REQUIRED: Required (must have): Knowledge of Microsoft programs.
