JOB OVERVIEW The Manager, Special Events is responsible for overseeing the successful execution of our annual signature events, with a primary focus on Daffodil Ball Vancouver. This entails ensuring that our organizational objectives, including revenue goals, are met. The Manager will work closely with a variety of internal teams giving direction to staff members to develop and implement strategies to integrate and grow the events. This position is responsible for developing strategies and business plans for a variety of events. Close interaction with staff members, donors, vendors and volunteers to ensure that all logistical components of the events are established, implemented and executed on time and within budget. WHAT YOU’LL BE DOING: Program Development and Evaluation • Develop strategic plans for all signature events and ensure implementation within the overall Society strategic plan. Special emphasis on our Daffodil Ball – Vancouver. • Support and strategic oversight of the Societies Asian Giving Program. • On-going management of objectives and revenue goals to ensure we are on track or if a shift in strategy is required. • Develops and monitors standards and guidelines to maintain event integrity. • Develops annual timelines and benchmarks. • Develops, analyzes and reports on monthly progress towards goals. • Develops and analyzes post-event and year-end statistical reports. • Develops and implements post-event debrief processes. • Analyzes trends and identifies need for development or modification of activities. • Ensures evaluation of all stakeholders including staff, leadership volunteers, guests, sponsors and donors is integrated into yearly plans. Resource Development • Determines requirements for event marketing materials and works with both the Marketing and Communications teams for the development of the pieces, including video assets. • Manages contract and vendor negotiations, including special event licensing as required. • Collaborates with the Leadership Giving team to manage prospect clearance process. • Collaborates with the Leadership Giving team to develop and execute a case for support used during an events fund-a-need. • Works with Revenue Development Directors, including Leadership Giving and Corporate Programs, to ensure integration of events with other department fundraising initiatives. • Collaborative stewardship of corporate and individual donors with Leadership Giving and Stewardship Manager; pre and post event. • Ensures Regions have tools to support events such as event software, critical paths, marketing materials, contract negotiations, and necessary licensing. Workforce (staff and volunteers) Management • Recruiting, training, supervising and coaching assigned staff and volunteers. • Conducting performance reviews, in line with policy. • Develops and implements a leadership volunteer structure for needed committees, i.e. Daffodil Ball. • Active recruitment/stewardship of all event committee members as well as sponsor partners – ensure a high return rate • Evaluates training program on a yearly basis for effectiveness and develops improvements if needed. Budget Preparation • Responsible for the development of event budgets, goals and objectives, and operational plans. • Provides input to the development of departmental goals and objectives, policies and procedures. • Provides monthly forecasts and other reports on division-wide progress towards event goals. • Develops program key performance indicators to help track event progress and performance. • Provides guidance and support to Regional staff in monitoring budgets and progress towards goals, and in providing monthly forecasts. WHAT WE ARE LOOKING FOR: 1. Proven ability to strategically drive events to meet revenue goals, recognize opportunities for growth and adjust planning to ensure success. 2. Specialized knowledge related to event planning for large and small events or other annual giving fundraising events of similar nature. 3. Extensive knowledge of and ability to interact with senior level business and community leaders. An understanding of the local philanthropic community would be beneficial. 4. Knowledge of strategic & operational planning, budgeting, and financial analysis required 5. Proven ability to set and accomplish goals and objectives, establish priorities with minimal direction. 6. Superior interpersonal skills with highly developed verbal & written communication skills: • Proven relationship management skills with donors and volunteers • Diplomatic, deal making and influencing skills • Strong presentation and public-speaking skills (one-to-one and to groups) 7. Driven and ambitious with the ability to create and achieve goals. 8. Skilled teambuilding abilities. Proven ability to coach or mentor others. 9. Ability to work a flexible schedule, including evenings and weekends and to travel to attend meetings, workshops. EDUCATION & EXPERIENCE 1. Related event management experience and expertise in the area of revenue development, with specifically demonstrated knowledge and experience in: a. Management of major fundraising events b. Solicitation of major gifts c. Securing of corporate sponsorship d. Recruitment and management of leadership volunteers and staff members. 2. University degree or professional certification in fundraising or related business discipline. 3. Five to seven years’ experience in managing special events, revenue development, annual giving, project management or a related field. 4. Demonstrated experience and a sound knowledge of a comprehensive fundraising program. 5. Working knowledge of Raiser’s Edge or Salesforce, Microsoft Office Suite and Givergy 6.
