Alumni Relations & Event Coordinator Department: College of Law FTE: 1.0 Status: Term maternity leave replacement of up to 12 months Requisition: req3846 Open Date:  2/13/2019 Closing Date: Until Filled Salary Information: The salary range, based on 1.0 FTE, is CAD $62,850.00 - 98,205.00 per annum (Specialist Professional/Phase 2). The starting salary will be commensurate with education and experience. Description: There is 1 opening for this posting. Located in Saskatoon .   Primary Purpose: To work with our Alumni to ensure they are kept apprised of college developments and initiatives; and designs, plans and coordinates the College Alumni relations activities. As well, to provide overall event-planning expertise for college events and activities including planning, coordinating, executing and evaluating.   Nature of Work: Reporting to the Director of Administration, this position interacts with a diverse group of individuals including university faculty, students, staff, and the public. The position involves considerable judgement and discretionary decision-making in the development, implementation, and collaboration with our Alumni and events within the College. S/he will garner an in-depth understanding of the College and its stakeholders, with special attention to alumni and students. The incumbent will work both independently and collaboratively with a cross-section of Alumni Relations specialists, University administration and key stakeholders to meet strategic goals, and establishing and maintaining positive relationships is essential. The position requires some travel and occasional work in evenings and on weekends. The work encompasses a broad range of complex duties and processes that involve deadlines, peak periods, requires attention to detail, and situations that requires both the ability to work independently as well as part of a team. It is a high-volume position that requires the ability to work in a fast-paced environment, subject to multiple, conflicting deadlines and priorities, with frequent interruptions. Impact of error is high, as it will reflect the reputation of the College of Law and the University of Saskatchewan. All staff work independently in addition to working as a team to provide services to the Dean’s Office. Accountabilities: Alumni Lead the alumni function for the College in order to build the reputation and foster alumni engagement for the College with internal and external stakeholders including strategic planning for alumni relations for the College Build and maintain relationships with College alumni and friends to ensure positive connections with and support for the College and University Strategize in collaboration with the Dean, the Development Team and others to implement alumni events to build and strengthen alumni engagement with the College of Law, and provide support for the organization of alumni reunion celebrations. Promote awareness and involve law students in alumni events to build connections among the students, alumni and legal community. Event Planning Plan, coordinates and supports various College of Law events including Alumni Relation events, Guest Speakers, Conferences, First Year Ceremony and other events for the College. Responsibilities include: o    Event coordination to ensure events are organized and ran smoothly. o    Problem solve any issues that arise before, during and after the event. o    Coordinate A/V requirements, signage and catering services. o    Manage financial activities including preparing financial reports. o    Negotiate venue contracts and booking of appropriate spaces. o    Work with other Dean’s Office administration and Faculty to promote events. Maintain measurements and benchmarks for events, assess results and make recommendations for any necessary changes. Develop event planning procedures, protocols and processes and provide expertise and guidance to assist College staff and faculty in planning events. Administrative Build and maintain relationships with special attention to all college stakeholders and alumnus Participate in UR meetings, team planning and other activities that contribute to achieving University-wide goals in alumni relations. Other projects as assigned. Qualifications Education:   A relevant bachelor’s degree. A combination of education and significant relevant work experience may be considered.   Experience:  A minimum of three to five years of planning, coordinating and managing special events.
