Sales & Events Coordinator Toronto Hours Full Time Start Date Flexible Position Summary The Sales & Events Coordinator is a full time permanent position working closely with internal sales and operations teams to consistently deliver successful events and surpass sales targets. You will be responsible for supporting the logistics and coordination of all internal and external sales missions and events relating to The Second City Toronto operations. Working with the Sales, Marketing and Operations teams, the Sales & Events Coordinator will develop and maintain highly efficient processes to increase lead generation and execute highly efficient and organized events. Responsibilities Group Sales & Event Support Work closely with sales teams to ensure quick and efficient responses are offered to all sales inquiries, sending information and closing sales as required to support the team. Prepare contracts, event details & invoices. Track deposits and final payments. Assist with site inspections and attend client meetings to discuss event set-up, food & beverage options, AV requirements and logistics for efficient event execution Prepare function sheets and event details to communicate with operations and production departments for smooth execution of  function. First point of contact for clients upon arrival and ensure the highest customer service is maintained throughout event. Maintain group sales and events information packages and marketing materials. Maintain Salesforce database to solidify relationships with current client base and maximize repeat business. Promotional Event Support Coordinate sales missions; booking, planning and preparing promotional materials. Continuously seek and assist to evaluate lead generation opportunities to support sales teams. Maintain concierge database, coordinate and attend all concierge industry events. Source out and prepare promotions for upcoming Toronto conventions & hotel partners Internal Event Support Coordinate in-house and off-site staff perks & benefits functions. Plan and organize year-end staff party (Festivus) in coordination with management. Administrative Sales Support Attend and contribute to operations & sales planning meetings. Prepare and distribute daily sales reports and weekly event calendars. Main point of contact with partner restaurants to monitor allotments and reconcile bookings. Reconcile group catering events invoices & group hotel bookings. Monitor internal shared calendars of theatre and conference rooms. Assist marketing department with performance listings and 3rd party ticket sellers such as Tourism Toronto, T.O. Tix, Perfect Day, Expedia etc… Experience & Education Education and Industry Knowledge – Bachelors degree and proven experience working in planning or related field. Demonstrates understanding for the local Toronto group market, tour & travel industry and core competition. Service Excellence – Highly developed customer service skills, genuinely warm presence, a sincere and outgoing nature, strive for service excellence.
