The School of Public Policy is hiring an Event Specialist to join a busy team to execute on The School's outreach and event mandate. Reporting to the Manager, Marketing and Business Development, the Event Specialist is responsible for the planning and coordination of high impact outreach activities, including world-leading executive programs, donor stewardship events, student speaker series and academic focused programs. The event specialist will be involved in a variety of events and programs, managing multiple events at a time and is responsible to ensure that the programs occur successfully. Position Description Summary of Key Responsibilities (job functions include but are not limited to): Event planning Work independently within a team environment to concurrently manage multiple, often complex events per year Act as a resource on issues pertaining to event planning and execution and provide advice about organizing and delivering the event Develop event timelines, production schedules and provide onsite leadership during events Determine speaker schedules, travel bookings, accommodation and process expense claims and speaker fees Source and negotiate contracts with external vendors in accordance with UCalgary policies and budget constraints Maintain a thorough understanding of the School's mission, programming, research and outreach activities and their objectives, commitments, and goals in order to work with Area and Program Directors to provide expertise on event delivery Take initiative to proactively address and provide solutions to potential project roadblocks and problems, and propose innovative approaches to increase productivity and efficiency Demonstrate adaptability by anticipating requirements, multi-tasking and managing priorities of self, while coordinating partners/stakeholder's deliverables and ensuring they are met Inform and make decisions to ensure the success of individual events and programs, by exercising professional judgement and discretion to guide them to successful completion Apply knowledge of travel and expense policies to advise Area and Program directors and external speakers of options for compensation and reimbursement Work in collaboration with the Communications team, help create and provide content for event promotion purposes. Event Support (Labour) - Week Nights, Downtown Urban Campus Job ID:  16141 Updated:  Yesterday Location:  Downtown Campus Position Overview The University of Calgary Downtown Campus is seeking a Recurring part-time week night Event Support (Labour) to ensure that the event spaces and classroom furniture are set up according to the needs of each user group and that the physical campus infrastructure is maintained to the standards expected of a Class A building.   This is a hands-on role that requires incumbents to understand visual setup maps, follow written instructions regarding furniture setup, organize work in order of priority, meet strict deadlines, and read and respond to emails.  A strong grasp of the English language is required.  Work will be undertaken with minimal supervision. This position is primarily for week nights, actual hours will vary depending on the needs of the campus and the number of classes and events that are scheduled.  Duties consist of ensuring classroom/event set up, checking on the organization and cleaning of the equipment/storage rooms, and servery hygiene.  Other regular duties involve cleaning of classroom and event centre furniture, cleaning walls, moving recyclable bottles from the basement to the loading dock for pickup, and patching and repainting drywall as required.  Support may be needed to setup or tear down for weekend events. Flexibility is required to occasionally start shifts earlier or end later depending on the event setup requirements. Primary Purpose of the Position (Key purpose, functions, roles): a) Setup and dismantle tables, chairs, staging, lighting, podiums, portable white boards / flipcharts and movable walls for special events and classrooms b) Ensure all surfaces are clean c) Ensure room is clear of debris d) Ensure that white boards if supplied are cleaned and have appropriate markers (corporate clients only) e) Ensure that flip charts if supplied have 1 full pad of paper and appropriate markers (corporate clients only) f) Ensure room layout is both functional and aesthetically pleasing g) Ensure waste and recycle bins are not overflowing during the day for hallways and classrooms h) Ensure waste receptacles in washrooms are not overflowing during the day i) Perform the day-to-day maintenance and repairs required for a public, student-oriented facility with a focus on the loading dock, the equipment/storage rooms, the servery, and cleanliness of classroom furniture j) Wall cleaning and/or drywall repair and repainting k) Other irregular cleaning duties may be assigned as required.
