The Communications and Strategic Services division is seeking a highly driven, engaging and organized professional who wants to work for an organization that offers career growth opportunities and a competitive rewards program within our Scarborough location on a temporary assignment March 1, 2018 – June 29, 2018.

The Strategic Services unit is responsible for delivering special projects and modernization initiatives. As part of Elections Ontario’s ongoing commitment to encourage communication and collaboration with other election management bodies, the Coordinator, Visitor’s Program will lead the delivery of a four-day event for members of other election management bodies, ministries and government offices to observe the 2018 General Election.

What you can expect in this role

Reporting to the Manager, Strategic Services, you will:

  • Lead the coordination, conceptual development and delivery of Elections Ontario’s 2018 Visitor’s Program.
  • Maintain ongoing communications with members of other election management bodies, and answer inquiries regarding Elections Ontario, our electoral system and the Visitor’s Program.
  • Liaise with the Elections Ontario Executive Office to coordinate key protocol requirements for hosting representatives of other election management bodies.
  • Create and manage the event plan and daily event schedules for members of other election management bodies.
  • Coordinate with internal Elections Ontario divisions to develop documentation and presentation materials for guests of the program into clear, strategic narratives.
  • Work with Elections Ontario procurement and events staff to identify requirements and secure contracts for hotel rooms, event space, meals and transportation for members of other election management bodies.
  • Manage relationships with third party vendors for hotels, event space, meals and transportation.
  • Coordinate and conduct an evaluation of the 2018 Visitor’s Program event as part of our election debrief.
  • Collaborate with internal units to coordinate a post-election staff appreciation event.

Qualification

  • Proven experience coordinating and delivering events for external stakeholder groups.
  • Strong organizational skills with attention to detail and strong analytical skills.
  • Proven experience preparing communication materials for an external audience.
  • Demonstrated relationship management skills with the ability to work collaboratively and as part of an inter-disciplinary team.
  • Highly-developed oral and written communication skills with a customer-service focus.
  • Demonstrated ability to establish and maintain relationships third party contract vendors.
  • Demonstrated ability to work independently, take initiative, and manage multiple priorities.
  • Highly-developed knowledge and proficiency in the use of MS Office: Outlook, Word, Excel, and PowerPoint.
  • Ability to understand Elections Ontario programs, policies and legislative framework, as well as business initiatives, strategies and programs.
  • Experience working to support the delivery of events in a politically-sensitive, non-partisan environment is considered an asset.
  • Must be legally entitled to work in Canada.

Compensation

Salary Band:           $65,731 to $84,270 per annum

Hiring Range:          $65,731 to $75,001 per annum
