Position Summary:

PBA is seeking an experienced, detail oriented Trade Show Manager. This person will work directly with exhibitors, sponsors, vendors and internal association team members to produce PBA trade shows and events from concept through completion.

 

This position is full-time, Monday through Friday, working out of the Scottsdale, AZ office. However, there may be occasional Saturdays and/or additional time required based on workload and project needs. Travel to PBA’s 2-3 trades shows per year, for up to a week at a time is required. Other travel is limited to occasional overnight or day trips for site visits.

 

Note that relocation assistance is not available for this position.

 

Core Responsibilities:

  • Assist with all aspects of planning, facilitating and executing all trade show events with an emphasis on exhibitors and sponsors.
  • Primary day to day contact with exhibitors, general service contractor and other vendor partners as it pertains to trade shows.
  • Work with internal departments and general service contractor in developing all PBA areas of the trade show from concept to final design. Including layout, design, gathering specs, etc.
  • Manage resources and budgets effectively and creatively and assist with budget development.
  • Oversee the day to day operations of floor plan management and set up/tear down of all events.
  • Make decisions regarding vendors to ensure highest level of performance and excellent deliverables to PBA while negotiating the best pricing.
  • Develop consistent process and tools to achieve highest level efficiencies in trade show planning, event planning, scheduling, reporting, booth design, and booth property management.
  • Oversee development of all required exhibitor materials, including Exhibitor Resource Guides, for preplanning and onsite event management.
  • Manage, train and supervise contract floor managers during trade shows.
  • Assist with the development and implementation of programs that create value for existing and prospective members, exhibitors and sponsors.
  • Assist with fulfillment of sponsorship deliverables.
  • Manage shipping and logistics for all association freight to PBA-produced and other industry events.

 

Qualifications, Knowledge, Expertise:

  • Minimum of 5 years of experience in managing tradeshows, events, seminars, corporate meetings and regional trainings with a focus on trade shows/expos.
  • Extensive experience working in floor plan management software such as a2z, ExpoCad, Map My Show, etc. Preference given to a2z.
  • Must be a self-starter with excellent time management skills.
  • Excellent written and verbal communication skills including ability to communicate positively with all levels from senior management, volunteer leadership, exhibitors, and sponsors.
  • Must be highly organized with extreme attention to details.
  • Ability to manage multiple projects with competing tasks/priorities. Project management experience a plus.
  • Skilled in vendor management, contract negotiations and logistics.
  • Proficient in a Microsoft Windows environment using the Microsoft Office Suite and browser based applications.
  • Ability to travel overnight and have flexibility to work nights and weekends; including 12+ hour workdays during trade shows.
  • Ability to stand on feet for an extended period of time.
  • Ability to lift 50 lbs.
