Events Specialist

Reporting to the Business Manager, the Events Specialist will be primarily responsible for the development, coordination, and implementation of successful internal and external events. The individual will be able to manage both the creative process and detailed execution of event management. The successful candidate will be an innovative and extremely creative individual who has high energy, a positive attitude, and will thrive in developing an idea into fruition. 

To execute and implement event activities including various client hosting programs, internal conferences and seminars, reward trips and all other activities relative to Investor Services sales initiatives.

You will find success based on your abilities in the following areas:

Manages multiple projects and programs of varying scope and complexity that creates a ‘wow’ experience to internal and external clients. 

  • Works with key stakeholders to create detailed work plans, that includes timelines and deliverables for all events 
  • Thinks big and provides recommendations and expertise in the planning, creation, and execution of events such as client hosting programs, team member events and internal/external promotions
  • Oversees event logistics leading up to and including the day of the event, including oversight of location staff, vendors, catering, entertainment, etc.
  • Acts as a key point of contact by providing guidance and support to advisors and their support teams regarding IS events and initiatives

Manages administration duties related to event operations. 

  • Works within approved event budgets, including effectively tracking expenditures 
  • Prepares department MasterCard reconciliations ensuring accurate coding of all items
  • Processes department invoices and maintains accurate record of all accounts payable
  • Prepares written communication to external partners - event organizers, charitable organization representatives, suppliers - as well as internal communication
  • Maintains departmental records, event items, and files

Builds relationships with stakeholders, internal partners, vendors, and industry peers to create effective pipelines for services.

  • Collaborates with all ATB’s areas of expertise, branches and external organizations as required
  • Provides assistance to other events as assigned, which may include coordination of onsite activities and overseeing event logistics
  • Investigates and identifies trends and opportunities of industry events, competitor and future trends
  • Represents as an ATB advocate with clients and in the community

Job Requirements

As the ideal candidate you possess:

  • Must be able to work independently and maintain a positive attitude in a very busy environment; ability to make high quality guest decisions and to perform under pressure. 
  • Excellent verbal and written communication skills
  • Effective project management and time management skills. Must be extremely organized and able to set priorities and manage multiple projects
  • Excellent event planning skills
  • Creative and finds new ways to increase the value of events
  • A great connector and strong collaborator with excellent relationship building skills
  • Understanding of both ATB Financial and ATB Investor Services policies and procedures will be an asset
  • Comfortable travelling for short periods of time (at times: full or multiple days) to oversee events
  • Flexibility in working hours with the ability to work evenings and weekends based on event schedules 
  • High School diploma
  • Minimum five years administrative and/or event planning experience; financial service industry and public relations/communications experience considered an asset
  • Event planning certificate preferred
