Essential Duties and Responsibilities:

  • Assist in the planning, management and execution of key meetings, conferences and events, including, but not limited to:
    • Track event RSVPs and ongoing communication with event participants
    • Coordinate travel needs for large numbers of VIP guests
    • Coordinate with vendors (photographer, caterer, AV, transportation, printers, etc.)
    • Create and develop a wide range of event-related materials (invitations, program books, nametags, signage, etc.) – training will be provided
    • Manage and coordinate team specific materials and event meeting materials generation
    • Cultivate relationships with clients, tenants, third party vendors, etc. to ensure first class service is delivered
    • Represent the company in a positive and highly professional manner in support of its brand
    • On-site events coordination, including but not limited to the following:
      • Oversee event registration
      • Coordinate event setup
      • Communicate changes and confirmations with venue, vendors, and team
      • Perform regular food and beverage and logistics checks
      • Provide assistance with transportation
      • Provide speakers and VIP guests assistance 
      • Assist in management of event timeline ensuing event remains on schedule
    • Perform other duties as assigned

Skills & Qualifications: 

  • Bachelor's degree required
  • Experience in hospitality and/or restaurant industry is a plus
  • Basic skills InDesign, Photoshop, and Illustrator, a plus
  • Strong written and verbal communication skills – able to express yourself in a clear and concise manner. Communicate with high-level clients professionally.
  • Calm under pressure – ability to handle yourself within a fast-paced industry during high-stress situations
  • Flexible – both in schedule (working late hours, early days, weekends when necessary), and in organization structure (able to change plans quickly without difficulty or stress)
  • Highly organized and detail oriented 
  • Problem-solving skills 
  • Proficient in Microsoft Office
