We are seeking an enthusiastic and highly organized individual to join our team as a Registration Coordinator on a full-time basis in our office. This is a great opportunity to gain valuable experience in the Meetings and Event industry.

You will be responsible for working with our Operations team on the Registration component for our corporate meetings. You must be customer service oriented, have a strong attention to detail (specifically very proficient in Excel) and enjoy working in a fast-paced environment.

Registration Coordinator – Vancouver

Responsibilities Include:

  • Collaborating with the software developers during the building and testing of registration sites
  • Provide regular and comprehensive communication for online registrations by monitoring attendee requests through email and phone
  • Database management
  • Effectively work with the registration team to provide reports, as required, internally and/or to the client
  • Managing registration fee payments and refunds, ensuring the receipt of payments, and collaborating with the Accounting team to reconcile payments received on a monthly basis
  • Manage accommodation reports, hotel blocks and other ad hoc reports as requested by Project Manager and/or client
  • Coordinating all registration supplier contracts for each project
  • Name badge vetting, data scrubbing, stuffing
  • Assist with revising and maintaining program budgets, as required
  • Coordinate all necessary information for final event reconciliation
  • Managing the onsite Registration area during a conference which includes troubleshooting, providing high-level customer support and supervising, and training temporary staff and event contractors
  • Enforcement of GDPR regulation standards & processes

Required Experience, Skills & Abilities:

  • Minimum one-year experience in a customer service-oriented position within the hospitality and/or events industry
  • Excellent written and spoken English is essential, with strong business communication skills and the ability to communicate clearly and effectively with non-technical users. Bilingualism (English/French) is strongly preferred.
  • An adept multi-tasker who can manage a number of diverse tasks with the ability to thrive under pressure during peak workload periods
  • Strong background with accounting procedures associated with registration functions
  • Excellent project management and organizational skills with demonstrated track record and ability to work in a team environment
  • Enjoys working in a fast-paced team environment, with the ability to manage multiple events simultaneously
  • Ability to work independently and with specific project teams for individual events
  • Strong computer skills are a must:

o Expert level in MS Excel
o Strong MS Word
o Experience working with custom or online software systems
o Knowledge or understanding of basic HTML is beneficial
o Quick learner on new systems

  • Strong dedication to high-level customer service
  • Maintain up-to-date documentation and user manuals
  • Work weekends and travel out of town, as required
  • Possesses a good sense of humour!
