Job Description
Sesame Workshop seeks a highly organized and detail-oriented Events Project Manager to execute our 50th tentpole activation:  The Sesame Street Road Trip.  The ideal candidate is a self-starter who takes initiative, prioritizes well and is able to multi-task. The candidate will have experience in event planning.  Knowledge of children’s education and media is a plus. This is a process-oriented position that requires internal cross collaboration as well as working with outside partners and vendors.

The Events Project Manager will report into the AVP, Marketing and work closely with the Manager, Marketing.
  • Feb-May:  5 days per week, Monday – Friday
  • June-Aug 3rd:  5 days per week – must include Fri. and Saturday.  3 remaining days are flexible.  

The Sesame Street Road Trip Background
We are taking the muppets on the road for a nationwide tour this summer.  They will visit ten cities in the US where we will have PR & Community Day (Fri.) and festival type event (Sat).
PR Community Day to include (not limited to)
  • Character visits throughout town
  • Community organizations (e.g. schools, shelters)
  • Local press appearances (e.g. morning shows)
  • Media & Social Outreach
  • Partner activations
Event Day to include (not limited to)
  • Sesame Street stage-show
  • Continual main stage programming
  • Multiple tents with character themed activities
  • Photo Ops
  • Picnic Area
  • Character meet and greets
  • Digital and social amplification
  • Work closely with internal clients on various aspects of the Road Trip to ensure goals are aligned and expectations are met.  Includes working with:
    • VPs of Strategic Partnerships - sponsor needs and activations
    • Creative Services - develop and execute all creative needs
    • Licensing Team – merchandising opportunities
    • Show Production -  creation of the live show
    • Legal -   coordinate and work within our non-profit guidelines
    • Finance - manage budget  
    • Marketing & PR – development of paid media, social and PR plans
  • Work closely with outside vendors on execution of the Road Trip and the prior PR and Community Day.  Includes:
    • Event company - execution of the Road Trip across all 10 cities
    • Live show company-  execution of the live show
    • PR Firm
  • Update and monitor budget reports
  • Project manage status calls with Event, PR, and Live Show vendors
  • Project manage creative deliverable timelines
  • Provide on-site event support.  Must be able to travel on weekends.
  • Write meeting re-caps
  • Write event re-cap reports
  • Administrative support as needed:  may include, expense reports, calendar management, schedule meetings, travel logistics etc. . .
  • Manage, maintain and update all project resources and informational assets and track all related documents through approval processes ensuring timely delivery
  • 5+ years of Event Planning expertise  
  • Superior process management skills: exceptional time management and follow-through; experience with deadline-driven projects in a fast-paced environment; attention to detail
  • Strong overall computer skills – use of PowerPoint, and excel for charts
  • Ability to juggle multiple tasks and manage competing priorities
  • Strong people skills
  • Available to work late or weekends depending on event needs
  • Available to travel to each event location on weekends
Basic Requirements: 
  • Must have the legal right to work in the United States
  • Bachelor’s degree or related event experience
