At Muddy Paws Rescue, we practice progressive, responsible, foster-based rescue and actively support our team of animal welfare advocates, while maintaining professional, transparent communication with the public. Muddy Paws Rescue is based in New York City and places approximately 1,000 dogs each year.

Events & Volunteer Program Manager

Working in collaboration with coworkers and volunteers, the Events & Volunteer Program Manager provides leadership in the planning, execution, and evaluation of MPR adoption events, special events, and the volunteer program. This leader must exemplify our Muddy Paws values of being Positive, Welcoming, Supportive, and Responsive, as well as support the removal of barriers in the adoption process to make adoption accessible for all.

The Events & Volunteer Program Manager will be a take-charge, animal loving professional capable of working efficiently and effectively in a fast-paced team environment, taking direction from the Executive Director, and taking full ownership of assigned projects through to successful completion. Must demonstrate positive energy and great flexibility, have a pleasant persona coupled with sound judgment, be able to anticipate project needs,
prioritize effectively, meet deadlines, and expertly navigate challenges. The Events & Volunteer Program Manager must be willing to work weekend and occasional evening shifts.

Essential Duties & Responsibilities

Event Planning and Oversight:

● Coordinate and oversee MPR mobile adoption, fundraising, and other special events
● Ensure smooth and efficient operations while maximizing revenue and public exposure
● Regular innovation to improve the event planning and implementation process
● Maintain the absolute highest quality standards for the dogs in our care
● Coordinate appointments and event scheduling; maintain the internal MPR calendar
● Assist with preparing budgets, tracking event finances, and providing periodic progress reports
● Manage day-of logistics, including setup and reset, during our regular adoption events and ensure that event setup meets brand expectations
● Ensure enforcement of signed partnership agreements with event partners and brand awareness for those partners

Volunteer Team Management:

● Recruit, train, oversee, and evaluate E&V team members (7-10 volunteers)
● Provide clear direction for team members and delegate tasks appropriately
● Ensure smooth and efficient operations and communication within the team
● Regularly assess and work to improve E&V team processes
● Facilitate monthly team meetings and maintain monthly adoption event coverage calendar for E&V team members

Volunteer Program:

● Participate in strategic planning sessions to review and amend strategic plan as needed
● Lead 2-3 volunteer information sessions per month; assess and resdesign training content as needed
● Conduct regular volunteer satisfaction surveys; analyze and adjust programs as needed
● Maintain volunteer database & provide reports & data regularly to indicate effectiveness of volunteer
program; utilize data to properly assess and improve program
● Collaborate with Marketing Director to reach new potential volunteer audiences and keep volunteer program informational materials up-to-date
● Schedule, plan, and attend regular volunteer appreciation events throughout the year (quarterly)
● Strive to grow Muddy Paws Rescue volunteer team to Service Enterprise standards
● Maintain and improve existing pipeline for new volunteers, including but not limited to: Leading in-person information sessions for new volunteers, reviewing and approving volunteer applications, tracking completion of required trainings, and supervising the growth of individual volunteers
● Manage relationships with individual volunteers and provide updates & motivation through use of the MPR Fosters & Volunteers Facebook group, biweekly newsletters, and volunteer database
● Provide supportive coaching and direction for volunteers
● Schedule and coordinate volunteers for adoption events, other events, training sessions, animal transports, and all other volunteer roles
● Connect volunteers with other staff members for volunteer needs as appropriate
● Maintain up-to-date paperwork, liability waivers, contact information for all current volunteers

General Staff Duties:

● Provide day-to-day supervision and project management for department projects and volunteers
● Transport or foster dogs as needed (car preferred)
● Participate in staff rotations for attendance at spay/neuter days in Glendale, transport arrivals in Long Island City, and Muddy Paws Meetups for volunteers and foster parents in Manhattan
● Attend weekly staff meetings at MPR HQ in Astoria, Queens and complete virtual weekly 1:1 meetings with supervisor
● Attend quarterly Town Hall meetings and coordinate with Executive Director to present a brief summary of current department status and future direction
● Monitor all applicable channels of communication and respond to inquiries in a timely fashion
● Perform other duties as assigned


The Events & Volunteer Program Director must be thoroughly committed to Muddy Paws Rescue’s mission, vision, and values. All candidates should have leadership, coaching, and relationship management experience, as well as a drive to learn and improve oneself and all aspects of the Events & Volunteer program.

Education & Experience

● Bachelor’s required, advanced degree preferred
● Background in any of the following preferred: event planning and production, project management, or volunteer management
● Animal handling experience preferred

Knowledge, Skills, & Proficiencies

● Ability to work well independently, take direction and execute according to organizational expectation, as well as manage several projects concurrently with meticulous follow-through
● Comfortable engaging large crowds in high traffic environments
● Calm and collected in times of possible crisis, manages stress and conflict effectively
● Ability to work rapidly and under pressure, and to adapt quickly to changes
● High level of technical proficiency and ability to learn new systems quickly
● Excellent interpersonal, team, oral and written communication skills
● Ability to develop and maintain positive, welcoming, responsive, and supportive relationships both internally and with the public
● Extreme attention to detail, solutions-oriented, efficiency-driven
● Passion for the well-being of all creatures, both two- and four-legged
● Physical exertion required (able to lift up to 40 pounds, long periods on feet in all weather)
● Ability to handle animals of all sizes with the appropriate combination of confidence and caution
