Description: Reporting to the Vice President & Chief Advancement Officer, the Director of Special Events plans, coordinates, and produces a busy schedule of cultivation, fund-raising, hospitality, and school-wide functions and various special projects (75-80 events annually) working closely with the School’s President, Chief of Staff, Producing team in the President’s Office, Provost and Dean, artistic division and departmental leaders and Development team stakeholders.
  • Design, manage and implement special events including donor cultivation dinners, annual Scholarship Donors Luncheon, President’s Dinner, Commencement Luncheon, fundraising galas, benefit events, and others.  Responsibilities for these events include:
    • Participate in decision-making process about strategies, opportunities, creative vision, and other issues related to the successful implementation of the School’s events
    • Provide leadership in the planning and execution of the School’s events, including identifying event dates, locations, participants, and formats
    • Create and oversee detailed timeline for each event
    • Coordinate invitation lists in collaboration with department’s directors
    • Collaborate with the Office of the President as well as Division heads to develop program content and performances for events
    • Create save-the-dates, invitations, and programs and work closely with designers and printer to execute printed collateral
    • Field and manage all invitation responses and attendance lists for seating and ticketing
    • Coordinate menus and decor with caterer and often with the President, Vice President, and/or trustee/event chairperson
  • Work closely with the development office and the producing team in the President’s Office to create a consistent image and standard for events at Juilliard
  • Supervise, consult, or assist with development events for major gifts donor groups, membership and alumni affairs. 
  • Oversee expenses of all events and maintain budgets in collaboration with the President’s Office as needed
  • Communicate effectively with numerous in-house departments to facilitate and request staff, equipment needs, delivery schedules, etc. for events
  • Communicate with high-level donors, trustees, and other “VIPs” with sensitivity and patience
  • Oversee and mentor a team of 2 Special Events staff
  • Bachelor’s degree
  • A minimum of eight years of similar experience in a fundraising office/non-profit organization 
  • Strong organizational skills and attention to detail
  • Demonstrated ability to work effectively under pressure and prioritize and juggle several tasks; negotiate and solve problems and make decisions independently
  • Initiative and the ability and willingness to collaborate and cooperate with colleagues when needed; comfortable working independently when needed
  • Excellent interpersonal communication skills
  • Familiarity with accounting and budgeting 
  • Proficiency in MS Word, Excel, and Outlook calendar programs; Raisers Edge knowledge a plus
  • Sensitivity to co-workers and donors, and the professional bearing to work with trustees and other volunteer leadership.
  • Frequent evening work, possible travel
  • Interest in performing arts/education/cultural institutions desirable
