Manager, Special Events

The Special Events Manager collaborates with the Special Events Director to plan and execute the organization’s event slate of 20 – 25 events per calendar year. Key responsibilities including forming relationships with outside vendors, communicating with donors, developing and managing event web pages, creating event material, leading community and public events and managing volunteers.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Works with Special Events Director to manage key relationships with existing event sponsors and donors, while also building new relationships with prospects.
  • Plans and executes 10 donor cultivation and public events, as well as internal events at various program locations. Collaborates with Director and executes major projects for signature fundraising events.
  • Supervises volunteer management (i.e. recruitment, training, motivation, supervision and evaluation) required to plan and implement assigned special events.
  • Leads development of event webpages and emails though Luminate software system.
  • Generates sponsorship and mailing lists. Creates event material for the board, committee members and senior staff. Sends additional requested material in a timely fashion and troubleshoots problems when they arise. 
  • Manages donor database with event attendance, sponsorships, board relationships, etc.
  • Researches and identifies new vendor prospects.
  • Manages the RSVP process for all events: acquires guest lists and updates appropriate registration lists.
  • Controls event related budgets with our accounting team including vendor payment submissions, pledges and invoice creation and distribution for outstanding sponsors.
  • Coordinates scheduling of committee meetings: sends notices, secures meeting rooms and prepares agendas, budgets and other logistics.
  • Oversees event supply inventory and day‐of event supply needs.
  • Assures that all Thresholds records are organized in a systematic and organized fashion.
  • Follows all appropriate safeguards with regard to the confidential files maintained at the Program
  • Follows all policies and procedures pertaining to all records including but not limited to restricting access to all records per agency policy.
  •  Other duties as required.

EDUCATION

  • Bachelor’s degree from an accredited college or university is required.

EXPERIENCE

  • Minimum of two (2) years of event planning experience.
