Job Description

The Events and Executive Assistant supports the Events and Special Projects Manager with the planning and execution of company events including, but not limited to the Collegiate Inventors Competition, Induction, Sales Conferences, company-wide events, museum special projects and vendor relations. S/he will also provide cross-departmental support through collaborative multi-functional projects and logistical planning. S/he will also be responsible for providing executive level support to NIHF leadership. This position operates in an environment that is fast-paced and collaborative, where adaptability, accuracy and attention to detail with a positive demeanor is required.
 
Position Responsibilities:
  • Assist the Events and Special Projects Manager through event logistical support which includes, but is not limited to, event research, vendor relations, contract management, event material creation event execution and post event evaluation
  • Provide overall administrative support to the C-level executives including but not limited to, managing calendars, booking travel, overseeing timelines for special projects, preparing meeting materials and managing correspondence
  • Track and maintain event materials
  • Support departmental collaboration through competitive analysis research, compilation and strategy as well as assist in cross-departmental integration on projects with Sales, Operations and Marketing
  • Assist with operational and technical support including but not limited to the logistics of Conga and Salesforce integration and data, including database files and reporting
  • Develop new research strategies and techniques as new tools and software becomes available, as well as investigate and recommend the procurement of research-related resources
  • Occasional travel may be required for business needs
  • Other duties as assigned per business needs and special projects
 
Knowledge, Skills and Abilities:
  • Excellent written and oral communication skills and confidence interacting with senior level management as well as all internal and external teams
  • Ability to see the big picture while managing day-to-day logistics
  • Attention to detail, accuracy, timeliness, multi-tasking and ability to oversee confidential information
  • Positive attitude and the ability to remain calm, professional and flexible under changing circumstances
  • Manage competing demands and priority projects
  • Must be able to perform physical duties associated with event preparation and strike such as climbing ladders and the ability to lift up to 25 pounds
 
Credentials and Experience:
  • Bachelor’s degree in related field
  • Proficient in Microsoft Office and familiar with all relevant technology
  • Salesforce experience is a plus
  • Experience in event planning or project management is preferred
