Job Description

Senior Meeting Planner

Manages complex domestic and international company meetings, incentives and special events. Effectively leads internal and external cross functional event teams to create programs that meet business objectives.

Consistently incorporates strategic program design to ensure program needs are aligned with SBU business objectives and event objectives. Utilizes MMES Core Business Process and departmental standards throughout the planning process. High level of interaction with Executives, Department heads and SBU business partners required. 



  1. Project/Onsite Team Lead. Manages multiple event programs simultaneously, leading cross functional teams through the planning process of complex programs. Monitors support planner’s quality of work and holds the internal MMES team accountable for delivering a high level of customer service to our business partners and attendees. Oversees team’s progress on all deliverables to ensure deadlines are consistently met and expectations are exceeded. Manages planning team and vendors onsite.  Ensures quality of services delivered and an extremely high level of customer service is provided to attendees. Experience with crisis management highly preferred. Must be capable of making on-the-spot, sound decisions for which there are no written procedures. Confidentiality is essential due to sensitivity of issues frequently discussed at meetings

  2. Budget Expert. Prepares and maintains complex, detailed program budgets with accurate oversight of contingency dollars using established financial mgmt tools and templates for financial tracking. This includes reconciling budgets, identifying cost efficiencies, working with different currencies, minimizing financial risk and identifying overall cost savings for key stakeholders.

  3. Creative Design. Develop creative and relevant event program designs that have innovated food & beverage concepts, interactive design elements, and create unique and memorable experiences that drive attendee engagement.  Ability to also translate creative designs to logistically sound execution that maintains an outstanding guest experience.

  4. Strategic Partner. Effectively communicates and collaborates with SBU business partners using a strategic approach to determine event objectives, team roles & responsibilities, and scope of work.  Advises clients on best practices and makes recommendations in their best interests. Builds relationships with internal business partner by establishing regular communication cadence to manage expectations around project timeline and deliverables. Confidently communicates with senior level executives to provide timely updates on program logistics.

  5. Logistics Expert. Knowledgeable about registration, housing, F&B, A/V, room sets and can expertly advise on appropriate agenda format. Designs F&B functions to reflect guest traffic and service flow, while considering audience profile to drive decisions. Can effectively create and execute a vision, bringing to life a concept while simultaneously achieving the business objectives of the meeting.

  6. Detailed and Process Driven. Consistently shares best practices and successful program design elements from previous experiences. Utilizes CVENT and other available tools to streamline the process of planning, sourcing, and managing meeting spend.

  7. Third Party Management. Uses industry best practices to lead the RFP process, securing the best possible value for goods and services. Adept at negotiating pricing, contract terms and conditions with DMCs, Hotels, Production Companies, Entertainment, etc. Proven track record of negotiated savings, reducing risk related to attrition, cancellation and provisions.

  8. Measurement & Reporting. Manages all data and reporting for pre-event, on-site and post event planning.  Oversees tracking of all relevant information using data for ongoing communication. Includes attendee surveys and application of impactful metrics that reflect customer value.
