Position Summary

BCRF seeks to hire a highly motivated and results-oriented individual to join the Development & Regional Events Department. The individual will play a key role in project management, fundraising events, work closely with a dynamic team, and experience first-hand the inner-workings of a premier non-profit organization. Responsibilities for this position focus in on regions where BCRF has and continues to develop a strong network of donors and supporters including but not limited to Boston, Palm Beach, Miami, Westchester, and Long Island. This position reports directly to the Director, Development & Regional Events.


  • Play an integral role in the planning and execution of fundraising events and special projects. Events include luncheons and symposiums; black-tie fundraisers; cultivation and partner events and other strategic organizational opportunities.

  • Serve as project manager for:

    • Event materials and communications

      • Oversee creation, editing, and production of printed materials including but not limited to invitations, event programs, signage, raffle/auction materials and menu cards

      • Serve as point of contact for graphic designers, printers, mail houses, and vendors

      • Maintain print and design timelines for all physical and electronic pieces

      • Update online calendar listings with BCRF events and event websites

    • Event seating and guest lists

      • Outreach and communication with event donors and sponsors to obtain guest lists, seating notes

      • Maintain and update event seating and guest lists for events of 400+ attendees

      • Oversee registration on-site at events, serving as lead troubleshooter

    • In-kind donations

      • Work collaboratively with BCRF team members, event leadership and donors on the procurement of in-kind donations including but not limited to floral sponsors, gift bag donors, and raffle donors

      • Collect in-kind donation information and track in the donor database, generating acknowledgement letters accordingly

      • Communicate with in-kind donors and event vendors on the logistics

  • Work with event donors, volunteer leadership, sponsors and key regional supporters, while providing the highest-quality of service and maintaining the integrity of the organization

  • Work with the team to conceptualize and implement new event ideas, concepts, and opportunities to increase revenue and cultivate new donors

  • Manage record-keeping, donor giving histories and update the Foundation’s database, Raiser’s Edge as needed

  • Assume other duties as assigned



  • Bachelor’s Degree required

  • Minimum of three years of event planning and past nonprofit organization experience, required

  • Knowledge of and experience with Raiser’s Edge system, strongly preferred

  • Demonstrated ability to think strategically and perform across the event planning and fundraising spectrum, including prospect identification, sponsorship proposal creation and donor stewardship

  • Serve as a representative of the organization in a professional and polished manner when communicating with major donors, volunteer leadership, vendors, and the Foundation’s constituency

  • Capacity to simultaneously work on multiple tasks and projects, and set priorities for a challenging workload

  • Ability to manage and work with varying committees and sponsors, including potentially challenging personalities and stakeholders

  • Ability to manage projects from start to finish while prioritizing tasks

  • Ability to exercise judgment and make important decisions when dealing with the Foundation’s volunteer event leadership and on-site during events

  • Excellent written and oral communication skills, strong telephone etiquette.

  • Experience seating large-scale events

  • Ability to handle confidential matters with discretion

  • High degree of initiative and resourcefulness, with the ability to work independently with limited supervision

  • Meticulous attention to detail and excellent proofreading skills

  • Willingness to assist all teammates with any given task

  • Flexible and adaptable

  • Positive can-do attitude and sense of humor

  • Highly skilled in Word, Excel, and PowerPoint. Must be computer and internet proficient, with the ability to learn proprietary computer databases

Physical and Other Requirements

  • May require travel, which may require walking distances, lifting and carrying luggage and boxes, and prolonged periods of sitting in tight quarters.

  • Significant computer work, which may require repetitive motion, prolonged periods of sitting, and sustained visual and mental applications and demands.

  • Occasional lifting (> 15 lbs), bending, pulling, and occasional lifting, carrying, and/or moving boxes, files, etc., some of which could be heavy or require the use of carts.
