Events & Marketing Coordinator 

Description The Events & Marketing Coordinator has a leadership role in organizing team travel, membership/community engagement events, and media communications for the Oakville Aquatic Club (OAK). The Events & Marketing Coordinator will report to the Business Manager and work closely with the Office Administrator, Bookkeeper and coaching staff. 

OAK is a 3-time National Championship, not-for-profit swim club that is managed by professional coaches and admin staff; and governed by a volunteer Board of Directors. OAK registers approximately 700 swimmers annually and provides competitive swimming programs in the Oakville area. OAK also provides opportunities for swimmers to regularly attend team competitions, participate in fundraisers that help support the club, and enjoy social activities that celebrate our success. The Events & Marketing Coordinator is a central point for ensuring these activities run successfully. 

OAK is looking for an individual who is very organized, has strong communication skills, can manage projects/teams and can be flexible to fit the club’s work environment. We want someone who is interested in the sport of swimming, amateur sport in general and who shares our goal of creating an environment for athletes to reach their full potential. 

Qualifications

Mandatory: 

  • Proficient in Microsoft Office, Google Suites, social media platforms and general computer use 
  • Excellent written and oral communication skills 
  • Event planning & management skills 
  • Project & team management skills 
  • Strong time management skills 
  • Travel planning skills 
  • Strong focus on customer service 
  • Detail oriented 
  • Basic financial skills (Preparing and managing budgets) 

Desirable: 

  • Speaks Cantonese, Mandarin or another second language 
  • Marketing / advertising / communications experience 
  • Prior involvement in a sports organization, optimally a swim club 

Duties 

Financial 

  • Prepare and manage event and travel budgets 
  • Reconciling event and travel financials 

 

Communication 

  • Communicate to the membership and community via email and social media platforms 
  • Answer general emails and phone calls 
  • Lead parent orientation sessions 
  • Communicate with the Town of Oakville and local media 
  • Post information to social media and the website 

General 

  • Responsible for team travel, membership engagement events and media communications 
  • Coordinate team travel: transportation, accommodations, meals and communications 
  • Manage OAK chaperone team: training, screening, selection, event planning 
  • Organize events such as banquets, community events, and social events 

Work Terms and Remuneration 

  • Standard work hours are 20 hours per week. Occasional weekends/evenings may be required. 
  • Standard work is conducted from the club office in Oakville. Occasional travel to a pool or any other locations where the club conducts business may be required. With prior approval, some of the regular hours may be completed at home. Work from home will require access to high-speed internet and a phone at the employee’s cost. 
  • Hourly pay rate: $25.00
