Basic Purpose:


Provide event planning and meeting coordination for cross-enterprise businesses (EVC, EVM, EVD, and affiliates).


Primary Responsibilities:

  • Maintain Master Conference Calendar for all channels with periodic updates and posting on EVD Intranet site.
  • Manage the planning and execution of details and logistics of in-house meetings at Eaton Vance Offices using Internal Event SharePoint Site and communicating with internal support departments.
  • Manage the planning and execution of all details and logistics of external events as assigned by Manager.
  • Site Selection: Assists Manager in compilation of large event site proposals to include comparison of room rate, space, concessions, location/site amenities, air travel, etc.  
  • Determine venues for events and work through contracting for space and meeting/event needs
  • Manage the development of event communications (invitations, save the dates, agendas).
  • Registration and event database management via Cvent software system (creation of event websites, registration reports, updates, etc.).
  • Manage the RSVP process and list management for high level events.
  • Determine budgets for event activities and requirements, and reconcile budget to actuals to keep events within defined budgets
  • Manages purchase order requisition process through internal SAP system for event related expenses.
  • Maintain conference booth and trade show equipment inventory and tracking usage
  • Assists ordering of event materials through internal fulfillment or outside vendors (literature, EV logo items, event supplies, etc.)
  • Coordination of event materials such as welcome packets, name badges, printed materials and other related event materials.
  • Coordinates shipment of materials to off-site meetings and events
  • Provide onsite management for events as needed
  • Support of various projects as directed.


Job Requirements:

  • Bachelor’s degree or equivalent.
  • Minimum of 3 years of related work experience.
  • Excellent verbal, written and interpersonal communication skills are essential.  Strong customer service orientation toward both internal and external customers is required.
  • Ability to prioritize and organize with high attention to detail with the ability to apply an analytical approach to problem solving.
  • Ability to work independently with a high degree of initiative and drive.
  • Familiarity with Word, Excel and PowerPoint required.  Familiarity with Cvent registration software tool and SAP procurement tool a plus.
  • CMP designation a plus
  • Travel required - approx. 15-20%
