Summary:

The Senior Event Manager will serve as primary manager to strengthen and expand support for Heartland Alliance by leading collaborative work to design, plan, and implement development-based fundraising and cultivation/stewardship events; as well as other external events across the alliance including but not limited to ground-breakings, grand openings and award ceremonies. S/he will work with volunteers and lead event planning committee(s) efforts to raise critical funds that directly support the organization’s work through three annual signature events. The Senior Event Manager is responsible for ensuring integrity of all event information in the constituent database to support Heartland Alliance’s efforts to maximize opportunities for engagement. The ideal candidate will advocate in implementing our mission of providing equity and opportunity for all throughout their work.

 

Essential Duties and Responsibilities:

  • Oversee all event logistics for approximately 6-9 events annually including signature, cultivation/stewardship, and community-based events in support of department goals to increase revenue and broaden awareness for Heartland Alliance.

  • Create and maintain a project plan and timeline for each event, ensuring deadlines are met.

  • Set annual goals and events calendar with Director Annual Giving.

  • Set event budgets with Senior Director of Development, and maintain strict budget controls for all events; including

  • Serve as lead project manager to coordinate the planning and implementation of event logistics with staff and other key stakeholders (board and committee members, volunteers, vendors) to help keep projects and tasks on schedule.

  • Serve as main contact for event planning committees and work with co-chairs and sub-committees in their planning, fundraising and marketing efforts to achieve set goals for signature events.

  • Working with data staff, manage events-based data in Raiser’s Edge, including data entry, running queries and reports.

  • Draft content for print and electronic event collateral including but not limited to invitations, electronic blasts, and program books.

  • Work with marketing and communications staff to develop content and assets for social media campaigns to support events.

  • Oversee the storing of pre- and post-event documents and other information in shared files and database to ensure accurate records for historical, analytical, and strategic purposes.

  • Facilitate roles and responsibilities for all event volunteers and provide effective training to ensure a highly effective and successful event.

  • Manage all income/expense reporting for each event and prepare appropriate reports.

  • Lead efforts around cost savings initiatives and utilization of technology to improve overall management of events.

  • Ensure that the tone and focus of events are in keeping with Heartland Alliance’s mission.

  • Assist with other development activities and perform other duties as needed.

Qualifications:

  • Five or more years development experience, specifically in managing, planning, and coordinating successful fundraising events.

  • Demonstrated success with donor focused cultivation/stewardship events.
  • Knowledge of Raiser’s Edge or other donor-centric databases.
  • Proven track record of accuracy, efficiency and dependability in data entry required.
  • Strong computer skills including Microsoft office.
  • Demonstrated in-depth experience and strong desire and ability to create and improve processes.
  • Strong organizational, analytical and planning skills with a high degree of detail, accuracy and follow-up.
  • Ability to work under pressure, meet deadlines and adapt to change in fast-paced environment.
  • Ability to prioritize, manage multiple projects simultaneously.
  • Be self-directed and -motivated, work independently, as well as have the ability to work collaboratively.
  • Possess good management skills.
  • Excellent written and verbal communications skills, presenting complex information and recommendations in simple, synthesized summaries.
  • Maintain confidentiality of private and sensitive information.
  • Access to independent transportation, valid driver’s license and current vehicle insurance, with willingness to drive to different locations as needed.

 

Education and/or Experience: Bachelor’s degree and 5-7 years experience OR combination of education and documented employment experience.
