Since 1971, Hopelink has served homeless and low-income families, children, seniors and people with disabilities in the north and east King County, WA. With service centers in Redmond, Bellevue, Kirkland, Shoreline and Sno-Valley (Carnation), we are the largest nonprofit organization in the area. Hopelink programs and services focus on five key areas: food, financial assistance, housing & family development, adult education & employment and transportation/mobility. Programs are aimed at helping people achieve stability, and helping them gain the skills and knowledge they need to exit poverty for good.

The Events Manager oversees the successful execution of Hopelink events. This role supports Hopelink’s overall donor engagement goals by planning and hosting events which both enhance donor relations efforts and which build awareness of Hopelink in the community.
Responsibilities include, but are not limited to: researching and securing venues, planning and managing the Development Events Calendar, negotiating quotes and agreements with vendors, assisting with event marketing, monitoring timeframes and budgets, data tracking, and overall project management.   

At present, events include: The Reaching Out Luncheon (Fall, 1,800+ attendees), Farm Fresh Feast (Summer, 250 attendees), the Turkey Trot 5k (Fall, 1,500 attendees) and a few smaller donor engagement events (25-50+ attendees.)   

A project management mindset and a “can do” attitude are musts for this position. The ideal candidate for this role should demonstrate exceptional organizational abilities, superb interpersonal skills, multi-tasking skills and excellent time-management. The position also requires an individual who can reinforce client-to-business relations, enhance the organization’s image and effectively deliver on all event objectives.   

Essential Functions:
• Oversees and leads development team through all logistical functions related to Hopelink events.
• Leads project management and execution of comprehensive deliverables for annual luncheon and other signature Hopelink events including: contractual agreements, event permitting, venue layout, catering, decor, audio/visual, equipment needs, signage, parking, travel arrangements for speaker, processing of reservations, developing and/or compiling volunteer and staff assignment descriptions and instructions, overseeing day-of-event activities and post-event evaluation.
• Anticipates, initiates and oversees the completion of event timelines and task lists, including setting planning meeting and agendas.
• Drafts materials, solicits and incorporates feedback from colleagues, and collects needed resources for event-related direct mail.
• Works with the Development Directors, and Director of Communications to facilitate the production and distribution of event collateral.
• Performs data entry and analysis of special event metrics including revenue projections, progress toward goals, and attendance outcome.
• Develops and maintains events budget including negotiation and careful monitoring of vendor invoicing and associated event expenses.
• Demonstrates excellent vendor relations communication and customer service skills to event attendees.
• Demonstrates clear and respectful communication in vendor negotiations.
• Drives Hopelink cargo van to transport materials to and from fundraising events.
• Performs other duties as assigned.

Desired Qualifications:
• Minimum four years of experience planning events of 1,000 or more attendees.
• Experience liaising with event vendors such as rental companies, catering, venues, audio-visual companies, and print/mail shops.
• Experienced in Project Management
• Proficient with Microsoft Outlook, Word and Excel
• Ability to work extended hours as required.
• Knowledge of Peer-To-Peer fundraising is helpful, but not required
• AA or BA degree OR equivalent combination of education, training, and work experience in a related field, and/or military service.

Licenses, Certificates and other requirements:
• Valid Washington State driver’s license.
• Demonstrated good driving record.
• Reliable personal transportation.
• Proof of personal automobile liability insurance.
• Must pass criminal background check.
