A/V and Event Coordinator

The Arlington Campus Events Management office is looking for an enthusiastic and energetic person for a part-time A/V and Event Coordinator position. The Part-Time A/V and Event Coordinator reports to the Staff and Event Manager in the Arlington Campus Office of Events Management. The A/V and Event Coordinator is responsible for A/V technical support and logistics for events in Founders Hall. The emphasis of this position is to coordinate and operate A/V needs, assist in set-ups for conferences, meetings, and events and to provide excellent customer service to all clients during their event.


  • Assist the Audio-Visual Manager by having a good working knowledge of all AV systems in Founders Hall event venues;
  • Troubleshoot minor technical problems and provide user support when required;
  • Obtain event space keys and appropriate set-up information for responsible events;
  • Verify that all equipment requested for events is set in the exact manner as described on the set-up report (unless otherwise directed) – this will involve the setting of tables and chairs and basic audio-visual equipment in accordance with reservation requests;
  • Maintain order in all storerooms and ensure that aisles and mechanical equipment areas are kept clear of equipment;
  • Perform event area walk-through according to the event schedule;
  • Assist event manager(s) with their program needs while enforcing User Responsibilities of GMU-Arlington;
  • Identify maintenance discrepancies and/or damages within event space and forward them to Event Manager;
  • Set the following day’s set-up requirements when applicable;
  • Interact with client 30 minutes prior to event start time to ensure setup requirements are accurate and check in with client periodically throughout event;
  • Interact with Catering, Housekeeping, Facilities, and the Information Desk when necessary;
  • Assist Events Management staff with data entry in Resource 25 scheduling software and organization of office work including sensitive materials;
  • Perform other duties as assigned by Events Management Staff.

Required Qualifications:

  • Must be a high school graduate;
  • Possess outstanding interpersonal skills and the ability to work effectively and efficiently with a diverse audience, including current university faculty and staff, alumni, donors, students, and the community;
  • Must be able to work a flexible schedule, including evenings and weekends;
  • Must be able to safely and independently move items up to 50 pounds;
  • Must have excellent verbal, written and interpersonal communication skills;
  • Possess strong customer service, time management and organizational skills with high attention to detail.

Preferred Qualifications:

  • At least six months experience working in an Audio/Visual tech support capacity;
  • Familiarity with higher education;
  • Working knowledge of all aspects of audio and multimedia applications, visual/audio hardware configuration, conference A/V set-ups, and knowledge of electronics used to support events.
