Program Manager Events Carlsbad, California Full time R0000367 This position oversees all aspects of events planning within the organization across all brands, including sales meetings, product launches, trade shows, in-store events, and internal meetings as defined and scoped. Essential Functions and Key Responsibilities: Develops and executes event planning & strategic execution for TaylorMade Golf Company. Responsible for execution of events on strategy, on time and within established budgets Collaborate with internal clients to establish goals and objectives and budget for events Research event venues and provide management with specifics on venue requirements, availability and logistics. Create RFP(s) for group hotel and meeting space needs according to event specifics, etc. Oversee contract negotiations pertaining to Meeting and Event planning for final approval by Marketing Director. Prepare design briefs for all event collateral (signage, tickets, branding, etc.). Work with event design producer on print timelines, execution and delivery. Generate and update agenda, timeline, and event checklist for all events Develop and maintain all facets of group travel manifest(s); rooming lists, transportation schedule, invitation and attendance lists. Manage and direct all on-site execution for each event including registration, site set-up and scheduling. Troubleshoots problems, facilitates audience/ensures event/meeting production strategy is properly executed Manage storage and transport all event marketing materials and all meeting related collateral. Maintain inventory and storage units; onsite and offsite. In collaboration with Marketing Director, oversight of budget monitoring, invoice reconciliation, post-event interdepartmental billing, invoice log and vendor files. Liaise with vendors/contractors and internal legal department for all written contracts on signing verification and file maintenance. Performs other related duties as assigned Knowledge and Skills Requirements: Ability to collaborate cross-functionally Able to function in a fast-paced environment against rigid timelines Extremely organized and able to prioritize effectively Excellent communication skills; verbal, written and presentation Professional presentation and demeanor Flexible and congenial personality Experience with Microsoft Office: Excel, Word, PowerPoint, outlook Education, Work Experience, and Professional Certifications: High school diploma required. Bachelor Degree in events management or similar preferred 5+ years event coordination experience required Work Environment / Physical Requirements: Office and event onsite environments Ability to work extended hours as necessary Frequent travel required.
