Coordinator, Facility and Event Services Full-time RegularAdmin Support Houston, Houston, TX, US TodayRequisition ID: 1179 SUMMARY Provide support to the Buildings and Grounds Department with a focus on guest services, committee support and staff assistance. Responsible for all aspects of committee support and serves as the conduit to all departments within the Show to ensure the policies and procedures are being followed. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following: Primary communications facilitator with committee leadership. Set timelines with all committee chairmen for all committee activities and responsibilities with clear assignment of who is responsible for what. Develop the budget with committee chairmen. Facilitate/coordinate flow of information between the committee and other Show departments or committees. Manage committee meetings both onsite and offsite and be available throughout the entire business portion of all meetings. Submit all online meeting requests to the Operations Division for each committee meeting and follow up in a timely manner. Check meeting room setup early on the day of each meeting. Communicate any issues with chairmen to management coordinator in a timely manner. Facilitate all purchasing for committee operations. Provide support to coordinate and track all contract labor, creating reports as needed. Process all contract labor invoices as well. Provide additional support to Building and Grounds department when necessary. Additional duties as assigned. SUPERVISORY RESPONSIBILITIES This position has no supervisory responsibilities. QUALIFICATIONS This position requires strong PC skills with a working knowledge of spreadsheets and word processing programs to include Word for Windows and Excel. Must possess effective written and oral communication skills, superior organizational skills with attention to detail, the ability to establish priorities and meet deadlines, assist with multiple projects and various administrative functions and work under minimal supervision. EDUCATION and/or EXPERIENCE Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience. Ability to write reports, business correspondence, and procedure manuals using excellent grammar and writing skills. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. OTHER SKILLS AND ABILITIES Requires ability to work independently, make independent judgments and problem-solve by collecting data, establishing facts and drawing conclusions. Must have experience with coordinating events. Must have organizational and prioritization skills. Ability to maintain high degree of confidentiality. Knowledgeable in Outlook, Excel, and Word. The employee may be required to sit, stand, climb, balance, stoop, kneel, crouch or crawl. During the Show, the employee may be required to frequently walk to various places on the grounds. Extended work hours required, especially during peak periods. The employee may be on feet for up to sixteen hours per day during set-up and the Show.
