Job Description The Events Planning & Sales Support Lead is accountable for: Managing and providing the “lead’ support to the high touch/complex/high visibility special events, recognition programs and medium/small meetings for the Manulife Bank sales management team including AVP of Sales, and VP of Retail Sales Distribution Sales Learning/Recognition events (i.e. Bank - National Sales Conference), Sales Incentive Programs (i.e. President’s Club), Advisor/Broker appreciation events (i.e. Central Region Golf Tournament) Sales management meetings, ad-hoc employee events, training events and smaller internal meetings. Providing overall leadership and direction to the Event Planning & Sales Support team which includes employee development and performance management support. The Events Planning & Support team consists of two (2) sales coordinators and dotted line reporting relationship to three (3) regional sales coordinators. Accountability for small, medium and large size events of varying complexities as well as day meetings and small meetings for Bank sales. These events / meetings require strong vendor and advisor relationship management skills and in-depth knowledge of the meeting planning industry including: Hospitality and hotel knowledge, travel industry standards, and third-party experience (i.e. speakers, entertainment, caterers, sales promotion companies, etc.) Key Accountabilities: Responsible for the management of high touch, high complexity, and high visibility large to small day meetings and special events for the Manulife Bank Sales team. Completes a needs analysis of each project and makes recommendations. In collaboration with the larger theme, this individual plans the for the overall theme, creative look, locations, travel requirements, activities, entertainment, speakers and educational agenda, meals, promotional items etc. Manages budget for all meetings and events. Determines the purpose or goals of meeting and identifies critical path, budget considerations, audience and goals based on a review of previous meetings. Working with sales management and their distribution channels to accurately determine objectives and specifications as well as executing events. Develops and monitors budget as well as recommend cost saving opportunities. Researches alternatives and develop recommendations for sites, facilities, food and beverage, recreation, entertainment as well as attractions. Negotiates with all third parties to obtain appropriate rates and fee schedules. Presents options to Bank Sales Leadership team and makes recommendations based on findings. Negotiates contracts to ensure Manulife Bank receives the best value and service within the stated budget. Ensures meetings are compliant and operates within the guidelines of National Instrument 81-105. Represents Manulife Bank on site, when support is required. Manages the day to day operations of the Events Planning and Sales Support Team . Works to develop and improve internal support processes. Coordinates and delegates projects and assignments to direct reports/dotted line reports. Recruits and selects qualified employees. Manages goal setting and supports employee career development. Manages the design, development and execution of sales incentive programs for the internal sales team. Works closely with Partner Rewards Manager to execute on multiple initiatives that require sales support. Works closely with the Manger of Training & Development to recommend, manage and coordinate programs.
