The Convention Services Manager position with Interstate may be a great way to make an impact and realize your potential. As Manager of Events and Conference Planning, you will: Work with Clients to provide a smooth and efficient Planning Process as per the POS’s set out, ranging from Rooms Only bookings and Conferences. On site management of groups. Develop client relationships to generate repeat business. Responsible for the distribution of the BEO’s weekly. Assist accounting in the accurate presentation of a group’s final bill. Review bills on a daily basis. Adhere to all contractual agreements assess and produce bills for slippage and cancellations were required. Attend Daily Meeting and highlight any changes or additional requests to the relevant Department. Attend weekly BEO Meeting to review upcoming week and actively relate information. Generate group resume to Hotel Department Heads for groups whose size or complexity require it. Make sure all information in Envision is up to date. Responsible for the distribution of any changes to information daily, via the change sheet and follow up with multiple voicemail. Coordinate pre-convention meetings between sales managers, operations and client wherever necessary. Participate in Planner Morning and Weekend Coverage. Serve as Duty Manager to open Conference Center, contact all in house clients, confirm planned specification, and assist with changes and last minute. Input guestroom information to reservation, monitor cut off dates, produce guarantee letters for unfilled room blocks where required. Must be knowledgeable and understand all operations of the Conference Center, including Food and beverage and audio visual pricing, conference center space, telecommunication and theatre specifics, club dining and guest rooms accommodations. Ensure up selling techniques are used during all planning were appropriate to increase Hotel revenues and also Hotel auxiliary services such as florists, equipment rental and dedicated staffing. Attend bi-weekly departmental meetings. Ability to acknowledge, solve problems and coordinate decisions in a professional manner Responsible for creating a positive atmosphere for both guest and employee relations and providing a good example for co-workers and other managers alike. Responsible for reporting and follow up on Guest and Employee accidents with security. Responsible for demonstrating aggressive hospitality, such as anticipating guest needs. Ensure all departmental assets are secured and maintain adequate procedures to afford a reasonable duty of care to guest and employees. Initiate maintenance works orders and expedite them in a prompt manner. Ensure hotel mission statement and service philosophy are consistently re-enforced. To perform all other reasonable duties as requested. Fundamentals A high school education or equivalent is required, with a four-year college degree helpful. A minimum of two years’ experience in a related position is also required. Advanced knowledge of Catering Sales and Food and Beverage industries is expected. Effective verbal and written English communication skills are necessary to be successful in this position. Regular use of a computer, business equipment and software is expected. Fast-paced, full mobility, continuous standing and the ability to occasionally lift, carry, and move up to 30 pounds is required. Limited local travel may be required.
