Exhibitor Services Representative Lanham, MD, USA Full Time Paid Time Off, Medical, Dental, Vision, Life Insurance, Disability, Critical Illness, Accident Insurance, LegalShield, and 401(k). ________________________________________ The Exhibitor Service Representative (ESR) is responsible for providing excellent customer service to all exhibitors prior to, during and after shows. The ESR provides a high quality of service in response to inquiries via phone, email, web chat, social media and onsite at tradeshows and ensures the timeliness of completed forms and paperwork by the client. Responsibilities and Duties Respond to inquiries from exhibitors via phone, fax, mail, and email in a timely manner Lead mid-level shows (between 200 and 400 exhibitors) Assist Senior ESRs on large scale tradeshows (400 or more) Ability to multi-task as you will typically handle 2-3 shows simultaneously Travel locally and nationally to attend tradeshows Assist exhibitors with orders and questions at the Exhibitor Service Desk at show site Perform Pre-Show duties as noted on Show Checklist including but not limited to: Preparing and packing all supplies/equipment needed Processing credit card payments Processing labor and sign orders Providing production reports for Project Manager Customizing dismantle letter Ensuring that all files, data, and supplies arrive at show site in timely manner Work in conjunction with Project Manager, Freight Representative, Labor Representative, and Account Executive to resolve any issues and ensure all materials and labor are delivered as promised to the exhibitor Process Exhibitor Orders, Receiving Reports, Labor orders, and Bills of Lading Process Exhibitor Payments (including credit card payments, checks, wire transfers, or cash) Perform Collection duties at show site to ensure 100% collection of charges due (includes distributing Statements to exhibitors and obtaining payment of outstanding balances) Perform Post-Show duties including but not limited to: Processing orders Entering outbound overtime freight not posted at show site Processing credit card payments Balancing the payments from the show Conduct final closing of the show including processing credit card payments, collection of outstanding balances, and final exhibitor billing Handle customer related issues without direct supervision and escalates issues as necessary Perform freight functions to ensure that exhibitors are notified when freight is re-routed. Ensure adequate documentation is received. Required Skills and Experience Candidate must have High School Diploma or GED Minimum of 2 years of tradeshow industry experience preferred Two (2) to four (4) years of customer service experience High attention to detail Strong written and verbal communication and organizational skills Self motivated, able to work independently as well as part of a team Proficient in using MSWord, MSExcel and Outlook Ability to handle multiple tasks at one time Why work at Hargrove In addition to your salary, Hargrove offers paid time off, Health/Dental/Vision, FSA, Life/Short & Long term Disability Insurance and 401K.
